Working Offline

BoothRev is built for bad Wi-Fi. Everything you need at the booth works without a network connection.

What works offline

  • Capturing a lead manually
  • Scanning a business card (the scan itself runs on your device)
  • Recording a voice note (saved locally the moment you stop recording)
  • Adding text notes to a lead
  • Setting intent (Hot, Warm, Cold)
  • Marking a meeting as agreed
  • Viewing leads you’ve already captured
You can run the entire event offline if you need to. Nothing is lost.

What waits for a connection

A few steps require the internet to complete:
  • Voice transcription — Your recording is saved immediately, but the transcript appears once you’re online. You’ll see “transcript pending” on the voice note until then.
  • Business card field extraction — The photo text is read on your device, but the AI step that organizes it into clean fields (name, email, title) runs when you reconnect. Until then, you’ll see the raw scanned text.
  • Syncing with the web inbox — Your event owner sees leads in real time when you’re connected. Offline captures sync automatically the moment the connection returns.

The sync indicator

Look for the sync status indicator in the app header. It shows whether you’re online, syncing, or have pending changes to sync. When you reconnect, BoothRev processes the queue in the background. You don’t need to do anything.

”I’m worried I’ll lose a lead if I can’t connect”

You won’t. Every lead and every note is saved on your device the moment you create it. BoothRev doesn’t require a connection to write data — only to share it with the rest of your team and process voice transcriptions. The worst case is that your event owner sees your leads a few hours after you capture them. All your data is safe.

Tips for events with no Wi-Fi

  • Sign in before you leave for the venue. Your session stays active.
  • If you plan to use voice notes, keep in mind transcripts will appear when you’re back in range — not immediately. You can still read your recordings and know what’s in them.
  • Check the sync indicator when you get back to the hotel or the car. Give it a minute to sync everything before you close the app.
