# Setting up an event

# Setting Up an Event

Setting up the event before it opens is the most important thing you do in BoothRev. The ICP, scorecard, and SLA you configure here shape how every lead is qualified and how quickly it needs to be followed up.

## Creating a new event

1. Go to **Events** in the left sidebar.
2. Click **+ New Event**.
3. Enter the event name, venue, start date, and end date.
4. Click **Create**.

You can edit all of these later. Start date and end date also control the event's status: upcoming, active, or completed.

## Event settings

Once the event is created, work through the settings tabs.

### Basics

* **Event name** — This appears in the mobile app and in reports.
* **Dates** — Set these so the event status updates automatically for your reps.
* **UTM campaign tag** — Add this if you're tracking event attribution in your marketing platform. It's included as a column in every CRM export.

### Ideal Customer Profile (ICP)

This tells BoothRev and Rev what a good lead looks like for this event. Fill in:

* Target industries
* Company size ranges
* Target titles or seniority levels
* Geographies (if relevant)

Rev uses this to score ICP fit for every lead. Event owners and managers use it to filter the inbox.

### Goals

Set realistic targets for this event:

* **Meeting goal** — How many meetings agreed do you expect?
* **SQL goal** — How many sales-qualified leads?
* **Pipeline goal** — What pipeline value are you targeting?
* **Expected deal size** — Used to project pipeline value from lead intent signals.
* **Expected win rate** — Used for weighted pipeline projection.

These numbers appear in your event dashboard and reporting.

### SLA

The **follow-up SLA** is how many hours your team has to follow up after capturing a lead. The default is 24 hours.

SLA compliance is tracked in the event dashboard. It measures how many leads received a follow-up within the window you set.

### Scorecard

If your Field Marketing Manager has created scorecard templates, select one here. The scorecard defines which qualification questions reps complete at the booth.

You can adjust the template for this specific event without changing the original template.

### Reps

Add the reps who will be working this event. Only assigned reps see this event in their mobile app.

### Confirmation email

This is an optional automatic email sent to a prospect the moment a rep confirms their email address.

Toggle it on and configure:

* **From name** — The display name prospects see in their inbox
* **Subject** — Keep it specific to the event or conversation
* **Body** — Can use placeholders like `{{first_name}}`, `{{rep_name}}`, and `{{event_name}}`

This email is sent immediately on confirmation, before Rev even drafts the follow-up. Use it to acknowledge the conversation while it's still fresh.

## Before the event opens

Run through this checklist:

* [ ] Event dates are correct
* [ ] ICP is filled in
* [ ] Goals are set
* [ ] SLA is configured
* [ ] Scorecard is selected (if applicable)
* [ ] All reps are assigned
* [ ] Reps have signed in and can see the event in their mobile app
